Offer letter.

Set out the proposed role, compensation, conditions and acceptance process for a prospective employee.

Scope before commitment Requirements explained
01 / THE BIG PICTURE

The right support.
With the details in view.

An offer letter explains the role you are proposing before a candidate joins. It puts compensation, location, conditions and acceptance in writing so both sides can make an informed decision. The draft should reflect the actual hiring arrangement and remain consistent with the later appointment and employment documents.

First, establish what applies

Documents should reflect the transaction, parties, location and applicable law. Drafting, legal advice, disputes, execution, stamping and registration need appropriate professional review; a template alone does not complete those steps.

What the scoped work can cover

  • Tailored offer letter draft
  • Compensation and condition consistency review
  • Issue and acceptance checklist
02 / GET READY

A useful brief.
A stronger starting point.

Bring these inputs and existing records to the drafting discussion. They help turn a standard format into a document that reflects your situation.

  1. 01

Employer and candidate names and contact details

  2. 02

Job title, reporting line and work location

  3. 03

    Approved compensation and benefits breakdown

  4. 04

Proposed joining date, probation and acceptance period

  5. 05

Conditions such as references or background checks

Share sensitive records only through an agreed secure channel after the engagement is confirmed. Do not send passwords, OTPs or signing keys.

03 / HOW IT MOVES FORWARD

One step.
Then the next.

A clear sequence, with room to resolve the details that are specific to your business.

  1. 01

    Confirm the offer

Agree the role, pay, joining date and conditions that the employer can actually honour.

  2. 02

    Check employment context

Review location, worker category and consistency with the employer’s hiring policies.

  3. 03

    Prepare the letter

Draft the proposal, acceptance method and conditions clearly, without conflicting pay promises.

  4. 04

    Review and issue

Approve the final terms and organise authorised issue and the candidate’s response.

Scope, fees and timing are agreed after review. Document readiness, professional review and any authority queries affect the schedule. Statutory charges, testing, execution and other third-party costs are identified where relevant.

04 / BEYOND THIS STEP

Keep the next
responsibility in view.

Keep the accepted version with the hiring record and reconcile any negotiated changes before issuing joining documents.

05 / A LITTLE MORE CLARITY

Good questions.
Useful answers.

01How is an offer letter different from an appointment letter?+

An offer presents proposed terms; an appointment records the confirmed employment arrangement. The effect also depends on the wording and acceptance.

02Can the offer be conditional?+

Yes, appropriate conditions can be stated clearly. Avoid conditions that conflict with applicable employment rules or approved company policy.

03Does this include background verification?+

The letter can describe agreed checks. Performing those checks, obtaining permissions and assessing results are separate activities.
